SMS Notifications ( BETA )

When calling clients, sometimes, they fail to pick up the phone. Especially with all the spam and scams going on, people are always worry of picking up a number they might not immediately recognize. We are introducing SMS notifications to help with this issue. With SMS Notifications, you can trigger an SMS to be sent to the user letting them know you are about to call them. The SMS message is fully customizable. If you want to try this feature, contact our support team and we will enable it.

Dictation for Quick Edits ( BETA )

Sometimes after the notes are generated, you might have some edits to make like adding test results or a quick message that the owner said on their way out.

• Dictation works directly within the VetRec text editor to make those quick edits.
• You can position your cursor anywhere on the editor and click the dictate button. The text will start to appear directly in the text editor.
• Stop dictation when you are done.
• To request access to dictation, let our support team know and we can enable it.

Styling Options

Additional text editing options have also been added including bolding, italics, underline, strikethrough and bulleted lists.

Snippets

Snippets allow you to ingest text blurbs like side effects, reactions, client education material, etc. to VetRec, so they can be automatically added to your medical records.

• Add text snippets to VetRec to use them within your notes
• VetRec automatically can pull from your snippets to enhance your medical records
• Configure templates to use specific snippets. (You can tell VetRec where and when you want specific snippets used)
• If you want to add a snippets manually, VetRec allows you to find snippets and add them to your notes.

Template Preview

During consults, having a guide to follow across the topics and information to be collected can help ensure a through conversation. With Template Preview, you can now have the template you are capturing information into right infront of you as your record.

• Template Preview serves as a guide during your consult to show you the information that is collected for the template
• You can see the template you are recording with right from the scribe page.
• If you are adding to an existing note, you can see what parts of the template have already been covered and which are missing.

‍🎨 PDF Customization: Change the look of the PDF exported by VetRec to match your style and brand. Change colors, font, logo, etc. to ensure a polished look and feel for your clients.

🏗️ Template Builder Update: We have made a major revamp to our template builder to improve ease of use. It also makes space for some new capabilities coming to our template system in the coming weeks! (🤖)

🦷 Copy and download dental charts. In addition, to PDF downloads already available. You can now download the chart as and image or copy it to your clipboard to paste into any rich text editor.

📝 Additional instructions for records recap are available to add more context to summaries. If you want specific information like only information from the last year or focus on weight related information, you can add it to additional instructions on the fly.

🏛️ Admin Center now supports the ability to use tags with invites for easier management

🔎 Search has been improved to provide more results and higher accuracy.

✨ Visits now support more statuses

Visits can now be marked Not Started, In Progress, Hospitalized or Completed. Visits can also be assigned an emoji to help differentiate them and track additional context. If there are more statuses we should support, please don't hesitate to provide feedback!

• Customize units for temperature and weight. Select the units you prefer the system to use.

VetRec Visit Analysis gives you a full snapshot of the visit with the patient.

It includes information like:

• Case Overview: A consolidate view of what happened in the visit. This includes patient signalment, primary concern for visit, and any treatments, prescriptions and vaccines given during the visit
• Client Information: Insights into the client. For example, sentiment analysis for the client, approval and decline of services.
• Coaching: High level indicators for the doctor. For example, how fast did the doctor talk during the visit (Word per minute)

VetRec Recommendation Workflows proactively surface information that might be pertinent to the case. Starting with:

• Similar Cases Workflow: Automatically finds similar cases that you have seen in VetRec. Using case information like problems, signalment, differentials and diagnostics, VetRec can surface pertinent cases that can be useful to the case at hand.

• Recommended Documents Workflow: Automatically finds documents from VetRec IQ that might be pertinent to the case. Based on the collection of documents that have been fed to VetRec IQ, this workflow will surface documents that match the cases problems, signalment, medications, treatments, etc. So for example, if you have documentation for differentials in VetRec IQ, this workflow can surface the specific document that contains differentials for the case.

Recommendation Workflows are disabled by default and must be enabled through your settings. There you can pick what workflows will be enabled.

Phone Calling

🔢 Dialpad - Built-in dialpad to help navigate call trees or enter codes.

🎛️ Phone Management - Manage verified phone number through the VetRec Admin Center. Add, remove and assign numbers with ease.

⭐️ Prebuilt Template Updates: We have made several updates to our built-in templates, sections and entries. We have taken a lot of feedback over the past couple months to improve key parts of the templates including history capturing, objective findings and plan information.

📜 Optional Fields: Make fields optional in the template to omit them from your record. This allow you to have further control over the structure and layout of the template.

🧠 Manage VetRec IQ documents: Delete and update documents within VetRec IQ.

🧑🏻‍⚕️ Transcripts shows client vs doctor labels: See who said what in the template.

☎️ Phone Call Delays: Add delays to call to navigate call trees when calling your landline.

D.A.V.I.D now allows you customize the context with which it answers questions and queries. Allow D.A.V.I.D to access all notes and recap for a visit or limit its responses to a specific document. Allow it to access external information or ask it to only respond based on the context of the case.

A consistent piece of feedback we heard about our template builder was that users had to continuously keep recreating the same sections over and over. You would craft a great Subjective section and in order to use it across all your templates, you would need to manually have to recreate it. With Saved Sections, now you can simply save the section and add it to all your other templates with one click.

Spacing between entries: You can now configure the spacing between templates. Pick between adding new lines after all entries, just entries within a section or a specific entry.

Custom Glossary: Add terms and words to your own custom glossary. VetRec will learn these words to ensure they are properly used. For example: Proper names, names of specific medications or treatments, etc.

Tags and Modified date on templates: Templates now show the modified timestamp and the PiMS they are configured for.

Define an entry as a list of options and let VetRec pick the correct option. Whether is is to get very specific inputs like a number or a word, or simply to help standardize your notes. Common use cases include CRT values, hydration statuses and pain scores. Not more having to use instructions to try to match a specific format or wording.

VetRec Scribe now supports recording conversations in French, German, Korean, and Portuguese. Transcriptions are seamlessly generated, and your notes will still be produced in your preferred language.

‍📝 Editing notes is now supported in the Chrome Extension and Section View in the Web App.

🔊‍ Recordings can now be uploaded directly from the Scribe page making it easier to add medica like voice mails, audio recordings and more.

Today, we are excited to announce that VetRec now makes it extremely easy to sync and export your notes with several of the major PiMS!

In addition to major cloud-based PiMS, we also have FREE integrations for most common server-based ones!

Our solution allows you to sync your appointments from your PiMS, bringing information like name, appointment date, any special ids, and allows you to export with the click of a button. Styling and format is preserved and with VetRec's customizable template builder, you can choose whatever format and style you like the most!

Today, we are announcing our Corrections Engine as part of our scribe. The Corrections Engine iterates on top of our note generation pipeline to help improve the correctness of note. The engine focuses helping with three main types of corrections that we routinely see doctors make (Thank you for providing feedback through thumbs down!)

• 🧑‍⚕️ Proper Nouns like their names and last names, clinic names, etc.
• 💊 Medications, treatments and veterinary products like vaccine names, injections, food brands, etc.
• 🩺 Veterinary terminology vs layman terms like pruritus vs itchy

The engine is personalized at runtime with a user's own information like vocabulary and abbreviations they have submitted to the system as well as their name, team name, etc.

We look to gather feedback on this new engine as we continue to iterate on it. Please continue to leverage the thumbs down feature to let us know where the system could improve. We leverage that information to find trends for issues (i.e. a given word consistently gets missed) that we can use to evaluate and improve the system.

Templates now supports section level styling. You can change specific sections to have bolding, italics, etc.

The template builder has been revamped visually to make it easier to navigate. You can identify different sections more easily and dismiss the right hand bar to get more space for template building. We are continuing to make changes to help improve the template creation process for all of our users!

Transcripts now include timestamps. The timestamps are clickable to allow you to jump to the place in the recording where that information is being said. No more jumping around or having to hear the entire recording!

‍

These timestamps can be referenced from your template if you would like to timestamp specific information like time that an injection was given or treatment was started.

Improved records recap accuracy and completeness. Specific improvements to reading tables, images and hand written notes. Updates increase latency slightly and additional optimizations in process. Maximum number of images / scanned PDF pages allowed increased from 100 to 400.

Particularly helpful for doctors who want every detail captured across client discussion, history and medical exam. VetRec allows you to select what information to summarize so you can scope and only share the information you want.
